Team / Event Organizer Registration Agreement 

This Team / Event Organizer Registration Agreement (“Agreement”) is entered into between the participating team (“Team”) and the event organizer (“Organizer”) for participation in Smoke on the Sound (“Event”) scheduled to take place on September 25th, 26th, and 27th 2026 at Marymoor Park, Redmond, WA. 

1. Registration and Eligibility 

  • Team registration is confirmed upon receipt of the full registration fee. 

  • All registration fees are non-refundable, except in the event that the Team is not selected to compete. If not selected, the registration fee will be returned in full. 

  • The Team is officially registered for the Event on the date specified above. 

  • If applicable, The Team is responsible for vendor fees charged by The Venue.  

2. Rules and Regulations 

  • The Team agrees to follow and abide by all rules and regulations outlined in the Kansas City Barbeque Society (KCBS) Master Series Rules and Regulations

  • The Team also agrees to comply with all additional rules, guidelines, and instructions provided by the Organizer prior to and during the Event. 

3. Prize Eligibility 

  • The Team acknowledges that eligibility to receive any prize funds is contingent upon submitting a completed IRS Form W-9 and receiving confirmation from the Organizer. 

  • Failure to submit a valid W-9 will result in forfeiture of any prize winnings. 

4. Judging and Final Standings 

  • The Team acknowledges and accepts the final rulings of the KCBS judges and the official final standings of the competition. 

  • All judging decisions are final and not subject to appeal. 

5. Revenue Sharing 

  • If applicable, The Team agrees to share 20% of all tasting-related profits with the Organizer. Details regarding collection and reporting will be provided by the Organizer prior to the Event. 

  • Organizer agrees to collect payment from guests and distribute profits accordingly to The Team and to The Venue.  

  • Organizer and The Team will count collected tokens together at predetermined times during the day. The Team will sign a document acknowledging the total number of tokens counted by Organizer and The Team.  

6. Permits and Compliance 

  • The Team agrees to provide valid and current permits required to serve food at the Event. 

  • The Team agrees not to bring outside alcohol, tobacco, or cannabis products into the Event space. 

7. Conduct and Removal 

  • The Team agrees to treat all other teams, guests, sponsors, staff, and the Organizer with respect and professionalism. 

  • The Organizer reserves the right to remove any Team from the Event premises, without refund, if the Team engages in unlawful, disruptive, or disrespectful behavior. 

8. No Refund Policy 

  • For clarity and emphasis: All registration fees are non-refundable, except in the case where the Team is not selected to compete. 

9. Load-In and Load-Out Requirements 

  • The Team agrees to arrive at the Event venue on September 25th, 2026 by their load-in time stated by the Organizer to complete setup and load-in. 

  • The Team agrees to use only the designated space assigned by the Organizer and may not relocate or expand beyond that space without prior written approval. 

  • The Team acknowledges that failure to arrive and complete load-in by the specified date and time may result in forfeiture of participation in the Event. 

  • No refunds will be issued if the Team fails to meet the load-in deadline and is unable to participate. 

  • The Team agrees to complete load-out and vacate the venue by September 27th, 2026 at their load out time stated by the Organizer. 

  • The Organizer reserves the right to charge late fees if the Team fails to vacate the venue by the specified time. 

  • Any fees or penalties incurred by the Organizer from the venue due to the Team’s conduct, including but not limited to damage, overtime charges, or improper disposal, will be billed directly to the Team. 

  • The Team is solely responsible for providing all necessary equipment for participation unless explicitly stated otherwise by the Organizer in writing. 

10. Miscellaneous 

  • This Agreement shall be governed by the laws of the State of Washington. 

  • Any disputes arising from this Agreement shall be resolved in the courts located in King County, Washington. 

  • The Organizer reserves the right to modify Event details, including schedule and logistics, without notice. 

By submitting a registration and payment, the Team acknowledges and agrees to the terms outlined in this Agreement. .
